How does Jivrus use Form Director?

Jivrus provides awesome software products worldwide to make every business automation more successful. One such product from Jivrus that is used for automation with Google Forms is Form Director. It is used by many companies and individuals for automating their business processes.

We at Jivrus are a customer to Form Director ourselves. We normally use Form Director for most of our automation. This article is to show you what are all the ways we use Form Director for our automation in Jivrus Technologies.

We automated online job applications - Careers @ Jivrus

We are using Form Director for collecting and organizing online job applications for Jivrus Technologies. Candidates can submit their Job Applications online from Jivrus Technologies' website to apply for the positions advertised here. The application will ask for your basic details, Job code, experience, percentage marks, resume, etc.

Once the candidate submits the form,

  • A document (resume) will be generated with all the details from the form submission.

  • The document will be sent to the candidate & also to the HR team via email.

  • Also, a ticket will be created in Freshdesk/ Zohodesk.

If your application form is approved then you will be called for the Interview process via email

How Form Director is used here:

  • The Google Form is configured with the Google Docs app using Form Director.

  • A Google Document template for generating 'resume' is added and mapped with the form fields.

  • An Email template is configured to send a personalized email to the candidate along with the generated resume.

  • Also, an email template is configured to send a notification message to the HR team of Jivrus Technologies about this new candidate.

We automate Staff onboarding - People Registration

In Staff Onboarding, we use Form Director for collecting personal data from the candidates such as DOB, Gender, Email, Address, State, Contact number, etc. In addition to this for Financial purposes, he/ she needs to provide their account number, bank, IFSC code, PAN number, PF number, etc. This is an internal process in Jivrus Technologies. This information collected is used during the background verification process and also for scheduling the candidate's stipend.

Once the candidate submits the form,

  • A document will be generated with all the details from the form submission.

  • The document will be sent to the HR team via email.

How Form Director is used here:

  • The Google Form needs to be configured with the Google Docs app using Form Director.

  • A Google Document template needs to be added and mapped with the form fields.

  • The Email template needs to be configured in such a way that an email should be sent to the management team of Jivrus Technologies along with the form submission details.

Sign In / Sign Out

Currently, because of this pandemic situation, our team at Jivrus Technologies is forced to work from remote. In this situation, we use Form Director for collecting the Sign in and Sign out summary of the employees.

Once the staff submits the form

During Signing In, a message with details of the signing in time and staff email will be sent to a group in Google chat/ Hangout.

During Signing Out the details such as, what they achieved today, what is the plan for tomorrow, any issues he faces, or any other comments are collected along with their sign out time. These details will be collected and sent to a group in Google chat/ Hangout.

How Form Director is used here:

  • The Google Form needs to be configured with the Form Director.

  • Google Chat/ Hangout app needs to be configured with Form Director. Also, the communication channel URL needs to be mentioned.

  • Once the form is submitted the employee Sign In & Sign Out summary will be sent to the communication channel & the members of the channel can see all the details.

We automate Partner Application using Form Director

We at Jivrus Technologies invite partners for selling our products to the worldwide market. Here in partner application, we use Form Director to collect information from the applicant about their company details, their location, their partnership programs etc. The interested applicants can submit the partner application form from the partner website portal.


Once the applicant submits the form,

  • The applicant will receive an email with all the form submission details.

  • The support team of Jivrus will receive an email with all the form submission details.

  • Also, a ticket will be created in Zendesk.

How Form Director is used here:

  • The Google Form is configured with the Email app using Form Director.

  • The form fields need to be mapped with the app fields.

  • An Email template is configured to send a personalized email to the applicant along with the form submission details.

  • Also, an email template is configured to send a notification message to the support team of Jivrus Technologies about the new application.

  • In addition to this, a ticket will be created in Zendesk.

We automate Partner Order using Form Director

Once the partnership agreement is signed the partner can order products from Jivrus Technologies. Here, we use Google Forms to collect information from the partners about the product they need, the number of licenses, and any other services they required. The partner can submit the partner order form from the partner website portal.


Once the partner submits the form,

  • The partner should receive an email with all the form submission details.

  • The support team of Jivrus should receive an email with all the form submission details.

  • Also, a ticket should be created in Zendesk.

How Form Director is used here:

  • The Google Form needs to be configured with email app using Form Director.

  • The Email template needs to be configured in such a way that an email should be sent to the partner along with the form submission details.

  • In addition to this, the email template should be configured in such a way that a ticket should be created in Zendesk.

Contact Us automated using Form Director

Contact Us is normally used by the users to contact Jivrus Technologies if they need any support or assistance from the developers. Here, Form Director is used to collect information from the users about their personal details, product, what help they need, etc. Users can submit the Contact Us form from any of the product websites.


Once the user submits the form,

  • The user will receive an email with a document and all the form submission details.

  • The support team of Jivrus will also receive an email with all the form submission details.

  • Also, a ticket will be created in Zendesk.

  • The Google Form is configured with the Google Docs app using Form Director.

  • A Google Document template is added and mapped with the form fields.

Feature Requests automated using Form Director

In the Feature Request form, we use Form Director to collect information about the details of the users, the feature description, product, etc. If any user needs a new feature to be implemented in any of our products he can contact us directly by submitting the Feature Request fom from any of the product websites.

  • The support team of Jivrus will also receive an email with all the form submission details.

  • Also, a ticket will be created in Zendesk.

We automate Free Offers using Form Director

In the Free offer, we use Form Director to collect information about the users, how they use the product, what they think about the product, their email address, and what comments they have given in G Suite Marketplace. Once they rate/ comment on the product in G Suite Marketplace and if their data is valid we will provide the user with a free offer.

Once the candidate submits the form,

  • A document will be generated with all the details from the form submission.

  • The document generated will be sent to the support team via email.
